Cancellation and Rental Policies
• Check in time is usually 3:00 p.m. but may be either earlier
or later depending on housekeeping or prior guests
departing from the property.
• *Check out time is between 11:00 am and 1:00 pm for non-holiday reservations, and at 11:00 am for holidays. All keys
are to be returned back to the office located at 876 Hwy 48
upon checkout. There is a drop box outside
for your convenience. Any lost or unreturned keys will
result in a $60.00 charge on your card.
• Reservations are subject to cancellation until all rent is
paid in full and we reserve the right to move a renter for
any reason due to circumstances beyond our control .We
accept Master card, Discover, or Visa but are happy to
accept a cashiers check or exact cash for your reservation.
No Personal Checks will be accepted. When using a credit
card and canceling we will keep a $100.00 booking fee to
cover the processing fees. The Guest must have an active
and valid credit card when making a reservation, even if
they are paying in cash or by cashiers check.
• Our Policies are different for the holidays. Our standard
Non Holiday cancellation policy is this-You have 14 days
after making a reservation with us to send in payment in
full, you will have to make a deposit at the time of booking
or the reservation is subject to cancellation. You will have
14 days prior to your arrival to cancel and to request a
refund of your deposit. If you choose to cancel less than
the 14 day period the deposit will be Non Refundable with
No Exceptions. There are no refunds on unused lodging.
• Holiday Reservation Cancellations- Thanksgiving we have a three night
minimum. Thanksgiving reservations will need to be paid in full by November 1st
and
there are no refunds given after November 1st for
thanksgiving. Christmas and New Years we have a five night minimum.
Christmas and New Years reservations must be paid in
full by December 1st. There are no exceptions to this policy,
if you cancel after November 1st for Christmas and New Years, but before
December 1st you will forfeit 50% of the rental amount.
There are absolutely no refunds should you cancel after
December 1st , We will keep 100% of the rental income .We
do this because it is very hard for us and the owners to
rebook during all major holidays.
•Labor Day, Memorial Day and the 4th of July: There will be a three night minimum.
During these Holidays all reservations must be paid in full at
the time of booking. Cancellations
received less than 14 days are non refundable. All
cancellation policies will be enforced by Elk Mountain of Ruidoso.
• Pets are allowed only in certain properties with the owners
approval. Arrangements must be made in advance with
property managers as to a pet deposit and you must have
to a pet carrier upon arrival. Refunds will be issued back to
the renter only after the property has been inspected and
found to have no issues regarding your pet. All pets must
be put in their carriers when renters leave the property and
their pets are left behind. You may not bring a pet without
approval or knowledge of Elk Mountain of Ruidoso. Doing so will
cause us to terminate your rental agreement with us and
result in a nonrefundable default policy RESULTING IN A
$200.00 CHARGE TO YOU.
• All properties are Non-Smoking indoors .You may smoke
outside but will need to use a receptacle for butts. Anyone
caught smoking indoors will be charged an additional fee
to their credit card for cleaning fees or damages to the
property.
• Fireplaces: All fireplaces must be left cleaned and out if
wood burning. We do not provide wood, you may purchase
it through out town. If you have a gas burning fireplace, do
not burn charcoal or wood in it, please read all instructions
carefully and if all else fails, call us at the office for
assistance.(575)336-1173. By doing so in a gas fireplace
will result in repair and damage charges to you. Most
owners have provided a receptacle for your embers and
smoldering ashes. Please be sure to empty them into this
as it will not catch fire.
• Gas Grills are provided on most of our properties for your
use. Do not place charcoal or wood in the gas or electric
grill. Charcoal grills are not permitted due to fire
restrictions here in Ruidoso. All grills must be cleaned by
the guest before leaving the property. There will be a
$15.00 fee for leaving the grill dirty. If the gas tank is left
empty, there will be a $35.00 charge to the renter upon
check out. Tanks can be refilled at IGA, Club Gas, Wal-Mart or Thrift way markets.
• Motor Homes: No hook up or use of any camper or tents
allowed that may be used in conjunction with any rental
property.
• All trash is to be thrown away, dishes to be washed, all wet
towels to be placed into the tub or shower if damp, Fires in
fireplaces must be put out and heaters turned off, lights
out, doors and windows must be locked, hot tubs covered
before leaving.
• Hot Tubs: If the hot tub gets broken, damaged, or left
excessively dirty there will be an extra charge plus tax
included.
• We ask that you specify the amount of guests that will be
staying with you on the property when making your
reservation. We must enforce the maximum occupancy
policy for your rental, This is for your safety and for the
safety of the property. Additional guests exceeding the
amount of guests the reservation was made for will result
in additional charges to the cardholder without exception.
• Elk Mountain Agrees to provide our guests with a clean,
habitable rental for your enjoyment. We observe the nondiscrimination
policy for our guests regardless of race,
color, religion, national origin having to do with the status
of any of our guests or tenants.
• You as the tenant must agree to the terms that are
stipulated on this agreement before renting from Elk Mountain.
All of our properties are individually owned and decorated
for your use and enjoyment. However, please respect the
rental property that you will be in. Keep all noise levels to
an acceptable degree as you may have neighbors, you may
certainly have guests but we ask that they leave the
premises at an acceptable time, No house parties are
permitted due to code enforcement in Ruidoso, please
remember that you are ultimately responsible for the
property that you are renting. We at Elk Mountain are
happy to have you and hope you have a good stay with us
while you are here. If we can help you in any way, we will.
We are not the biggest, but we are striving to be the best!
• Damage or Accidental Injury-The policy is this, Guests are
solely responsible for any damage to a property, any
missing or broken items will be charged to your credit card
with No Exceptions. Any accidents or injury to any person
or loss sustained by any person, including loss of money,
jewelry, or other items of personal property arising out of
or in any way related to guests use of the premises is
solely the guests responsibility. Owners will not be held
liable in anyway for injuries on the property or otherwise.

• Our trust account and handling of funds may receive
income from services rendered including, but not limited
to, cleaning services, maintenance personnel, handymen,
utilities and all other fees associated to property
management.
